Privacy Policy

1. What We Collect

When you register and use IC Troo we collect the following information:

• Account data — username, email address, and password (hashed, never stored in plain text)
• Optional profile data — phone number, Discord handle, and area of interest that you choose to provide
• Content you post — articles, project descriptions, comments, votes, and uploaded files
• Usage data — pages visited and actions taken, stored in server logs for security and debugging

2. Cookies

We use a single session cookie to keep you logged in between visits. We do not use advertising cookies, cross-site tracking cookies, or any third-party analytics cookies. Uploaded files are served via Cloudinary, which may set its own cookies subject to Cloudinary's privacy policy.

3. How We Use Your Data

• To authenticate you and provide access to Platform features
• To display your profile and content to other members
• To send transactional emails (e.g. application status updates) if email is enabled
• To investigate abuse reports and maintain Platform security

We do not sell your data to third parties or use it for advertising.

4. Data Sharing

Your username and public content (articles, project posts, comments) are visible to all visitors. Your email, phone, and Discord handle are visible only to logged-in members in a partially masked format. We share data with the following sub-processors solely to operate the Platform:

• Cloudflare — hosting, CDN, and database (Cloudflare Workers + D1)
• Cloudinary — file and image storage
• Resend — transactional email delivery

5. Data Retention

Your personal data (email, phone, Discord) is retained for as long as your account is active. When you delete your account, your personal data is erased immediately and automatically — no waiting period, no need to contact anyone. Content you posted (articles, projects, comments) may remain under your username unless you delete it yourself before closing your account — see the FAQ for details.

6. Your Rights

You can manage your own data directly from your account:

• Access / correction — edit your profile details at any time from your profile page.
• Deletion — delete your account instantly from your profile page. Your personal data is erased immediately. See the FAQ for the two deletion options available to you.

For data requests that cannot be fulfilled through the platform (e.g. a full data export), email admin@ictroo.com and we will respond within 30 days.

7. Security

Passwords are hashed before storage. File uploads are validated server-side before being forwarded to Cloudinary. Communication between your browser and the Platform is encrypted via HTTPS. Despite these measures, no system is perfectly secure; please use a strong, unique password.

8. Changes to This Policy

We may update this Privacy Policy. Significant changes will be announced on the Platform. The "Last updated" date at the top of this page always reflects the current version.
